Office Administrator
The ideal candidate will play a key role in the efficiency of daily administration office operations with a focus on the management of the logistics operations. From scheduling collections and deliveries, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.
Responsibilities:
Logistics
- Responsibility to Co-ordinate and manage various aspects of logistics
- Prepare delivery documentation for all national and international shipments
- Liaise with customers, suppliers & relevant bodies/departments regarding international collection and deliveries to ensure that all relevant paperwork is in place & movement takes place in a timely manner
- Collaborate with suppliers and vendors to ensure timely delivery of materials and products
- Process and track shipments
- Proactively manage and liaise with supply chain to ensure issues are resolved in a timely and professional manner
- Maintain appropriate interpersonal relationships with employees, peers, and business partners.
- Achieve results within quality & time restraints.
Administration
- Provide excellent customer service to our business partners by responding to enquiries and requests in a timely and professional manner
- Maintain all files and documentation to a high standard
- Assist with completion of reports requested by the company directors.
- Process AR invoices and employee expenses promptly, ensuring accurate coding in SAP
- Handle and resolve supplier queries efficiently.
- Preparation of all SEPA bulk supplier payment proposals in compliance with company processes and controls, provide suppliers remittances
- Run aged creditors listing generated in SAPB1 and ensure no debit or overdue balances
- Reviewing and analysing current procedures in order to recommend and implement changes to standardise activities and continuous process improvements
- Ensure adherence to processes in a strong controls environment
- Assist staff with administrative duties as requested
Requirements:
Essential
- Experience in logistics/freight co-ordination
- Excellent Communication Skills, Verbal, Written Computer and Presentational.
- Fluent in spoken and written English
- Demonstrated ability to work independently and as part of a cross-functional team involving production, sales & marketing.
- Excellent level of attention to detail and numerical accuracy essential
- Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
- Knowledge of general office machines and telephone system.
- Ability and willingness to work cooperatively with others.
- High degree of discretion dealing with confidential information.
- Ability and willingness to work some early mornings and late evenings.
